Below is an overview of the personal data we process:
Category – Website Visit
- Data about your activities on our website

- Other personal data you actively provide in the contact form, by email, or other correspondence (this may include medical data)

When you fill out our contact form or contact us via email, the aforementioned data is processed. You can choose not to share your name with us. We process your IP address to determine which country you are in and to connect you with a nearby psychologist.
Category – Starting Treatment
If you proceed to treatment, no additional personal data is needed apart from those previously mentioned. We will connect you with a freelance psychologist from Personal Online Therapy, with whom we have a processing agreement to ensure the safety of your personal data.
This freelance psychologist will process data regarding your mental health (creating a medical record), as required by law. The freelance psychologist cannot share this data with anyone unless you give permission and/or if there are legal reasons. Only your personal psychologist within Personal Online Therapy has access to your medical record.
Special and/or Sensitive Personal Data We Process
Personal Online Therapy processes the following special and/or sensitive personal data about you:
- Mental health/medical data
This is solely for the purpose of offering you our services: online psychological help. The legal basis for this is ‘agreement’.
Purpose and Legal Basis for Processing Personal Data
Personal Online Therapy processes your personal data for the following purposes:
- To email you to offer our services
- To deliver services to you (online psychological help)
- To handle your payment (sending an invoice to your email address)
The legal basis for this is ‘agreement’.
How Long We Keep Personal Data
Personal Online Therapy does not retain your personal data longer than is strictly necessary to achieve the purposes for which your data is collected.
We use the following retention periods for the following personal data:
- First and last name – 6 months after the last moment of contact
- Email address – 6 months after the last moment of contact
- Other personal data you actively provide in the contact form, by email, or other correspondence – 6 months after the last moment of contact
Our reason for retaining this data for 6 months after the last moment of contact is that a client might contact us again after a few months. It is helpful for the Personal Online Therapy practitioner to have this information (e.g., the initial application email from the client) on hand to provide the best possible treatment.
Medical Record
Under the Medical Treatment Agreement Act (WGBO), healthcare providers are required to maintain a medical record. The general rule is that your medical record must be kept for at least 20 years after the end of the treatment agreement. This is stipulated in the Medical Treatment Agreement Act (WGBO).
Sharing Personal Data with Third Parties
Personal Online Therapy shares your personal data with various third parties if necessary to execute the agreement and to comply with any legal obligation. We enter into a processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data.
